A dependable integration recognizes the repeated order, checks its destination record and avoids creating another draft. If the customer cannot be matched, it holds the work. How should CRM and ERP integration be designed?
Start by assigning ownership of each fact. Your CRM might own the customer relationship while the accounting or ERP system owns invoice status and balances. Define which changes can cross the boundary, how records match and what happens when they disagree. Two systems should not silently overwrite each other.
Use a stable customer crosswalk, not a similar company name. Separate an order correction from a repeated delivery. If the same order key returns with a different amount, route it for review rather than assuming either version is right.
One platform example: Microsoft documents alternate keys for referencing Dataverse records in integrations. Those keys must be defined on the relevant table; their availability is something to verify, not assume.
From scope to operation
How do we know the connection is ready to launch?
Launch requires evidence from the whole handoff, including the cases that fail. We test approved examples, compare source and destination records, then agree who responds to held work. The business owner signs off on the result, and the operating team receives a recovery procedure before the connection becomes routine.
Inspect access: API rights, account plans, field definitions and a suitable test environment.
Reconcile: compare record counts and amounts; explain every held or unmatched item.
Launch with an owner: agree alert routing, response targets, support and rollback.
When connections fail
What should happen after an API error?
The response depends on the failure. Missing permission needs an operator; missing business data needs its owner; temporary limits may allow a delayed retry. An uncertain write needs reconciliation first. We define these paths explicitly so that repeated requests do not become duplicate orders, unexplained changes or an invisible backlog.
For example, Microsoft’s Dataverse service protection guidance describes a Retry-After value with rate-limit responses. A connector must handle that platform’s guidance; a fixed rapid retry loop is not an operating plan.
Retries need limits and escalation. Reconciliation needs more than a green connection indicator: the team must know which records arrived, which remain unresolved and whether the amounts agree.

When is a custom integration worth considering?
Consider an integration when a recurring handoff creates rekeying, delays or inconsistent records and the systems support a dependable connection. Begin with one valuable event and a measurable baseline. If an existing feature already completes the work, configuring it may be the better starting point than commissioning new software.
Good starting examples include won deals becoming onboarding tasks, completed jobs becoming invoice drafts, and document review decisions updating a client’s status. Measure staff touches, unresolved items and completion time before and after launch.
